The challenge
Gemstone trading runs on trust, detail and speed. Every stone has its own weight, colour, origin, treatment and certificate, and a buyer wants those details before they will talk price. When stock lives in photos, messaging apps and personal notes, answering a buyer takes time and mistakes happen.
Gemcolony wanted the whole operation automated behind the scenes, and a proper way for trade buyers to see stock and order without a chain of messages.
What we built
Two connected parts: an internal system for the team and a B2B platform for their customers.
Internal system
- Stone inventory. Each stone is a record with photos, measurements, origin, treatment and certificate details, and its full history from purchase to sale.
- Pricing and quotations. Prices and margins are calculated by rule, and quotations are produced in a few clicks.
- Orders and invoicing. Confirmed orders become invoices and dispatch records automatically.
- Automated tasks. Repetitive work such as stock updates, status changes and buyer notifications runs on its own.
- Reports. Stock value, sales and buyer activity on one dashboard.
B2B platform
- Verified trade accounts. Buyers register, are approved by the team, and then see trade stock.
- Searchable catalogue. Filter by stone type, weight, colour and certification.
- Requests and reservations. Buyers request quotes or reserve stones from the same page.
- Order tracking. Buyers see the status of each order without messaging the team.
Because both parts share one stock record, a stone sold in the office disappears from the buyer portal immediately, and the reverse is also true.
Security
Gemstone stock is high-value data. Access is by role, every change is logged, and the portal is protected against spam and automated abuse, with backups and monitoring in place.
